The situation
AlterWood is a wholesaler and reseller of Millboard: the most beautiful and true-to-nature composite decking and cladding board. At their price point, it's all about giving good advice and optimising the customer experience. In that process, putting quotes together took a lot of time: about 10 to 15 minutes per quote, for over 1,500 quotes a year.
The back-office employee handling this went on maternity leave, so the challenge for us was clear: in a short time, cut as much as possible off the time per quote, while keeping the quality.
Our solution
Identification & extraction
Connected to the inboxes, every request, including attachments such as PDFs and drawings, is read out and all context is extracted from it: organisation, contact person, the quote request per product or line, location and so on.
Building the quote
Based on the request, the AI system determines which materials fit, including extra logic such as the number of packages or pallets, finishes, screw logic and delivery times. It looks up the right customer in the ERP or creates a new one, and fills in the quote end to end. That product-specific logic has been built up over time through feedback and documentation.
Follow-up
Once a team member checks the quote, it gets sent. Our system then follows up on it in a personalised way, both by WhatsApp and email.
The result
The time per quote went from an average of 10 to 15 minutes to a few minutes of checking. That let Patrick cover the maternity leave without expensive temporary staff, and there's now room left over for the human side and improving the customer experience.
