The situation

Het Roode Koper is a high-end estate, for both private and business use. At their level, the guest expects a unique, tailor-made experience. The front office presents that through a bespoke plan and approach by email, or through an extensive quote document including visualisations.

Putting that together took too much time, and the quality and consistency varied between team members. The challenge was clear: improve quality and consistency, and reduce the time, so the front office has more time left for the actual guest experience.

Our solution

Identification & categorisation

Connected to the inbox, enquiries are pulled out automatically and categorised straight away, by type of enquiry (business, private, wedding and so on) and group size. That category tailors the handling to the enquiry, instead of one generic process for everything.

Determining the offer

Depending on the category, the system gets access to all available rooms and specifications, packages, prices and extra activities, and determines end to end what is offered and how. According to the team, the system comes up with better ideas.

Drafting the email

All that data is bundled together, and based on the tone of voice, writing guidelines and historical emails, a near-perfect email is drafted and set ready as a draft. The team only has to check it and send.

The result

The system gives the customer better, more consistent advice and a better experience, gets the customer a faster reply with the right content, and leaves more time for personal contact and hospitality.

  • 85%time saved per email
  • 70%time saved per quote
When I first started using it, I was genuinely surprised how good it was. The system we built together comes up with good ideas, works everything out thoroughly and well, and really saves us a huge amount of time. It was a strong start to a lot more expansion.
