The situation
TLANT supplies 100% organic breakfast products, locally sourced, to hotels and businesses. Their products carry best-before dates, with many different batches per product type, so it took a lot of work to process, from the order confirmations of the external warehouse, which batches and best-before dates had been picked and used for the customer in the ERP. Up to 8 hours a week for the operations director. The challenge was clear: bring that time down as close to zero as possible.
Our solution
Identification & extraction
Connected to several mailboxes, the right order confirmations are read out, and every relevant order line is extracted from the PDF, including best-before dates, delivery dates and product details.
Entry into the ERP
Based on the PO number, the PO is pulled from the ERP, the order lines are extracted, and the correct best-before-date mutation is filled in and processed line by line. If an error occurs on one line, the system carries on with the others.
Checks & ticketing
The system checks for items that are in the confirmation but not in the PO, and the other way round, and for items whose volumes or best-before dates don't match. The errors are ticketed per order and checked by a person.
The result
The system gave the operations director more time back to grow and optimise the business, instead of spending it on admin.
