Orders that prepare themselves, on top of the ERP that was already there

The situation

Verwaard Bouwstoffen sells ready-mixed concrete and building products. Orders came in by email: as a PDF, as an Excel file, and often simply as free text in the message itself. Someone read that, looked the customer up in the ERP, found the products and retyped the order.

The ERP, Brincr, did exactly what it was supposed to do. The problem sat in front of it: everything that came in had to be translated by a person first into something the system understood.

Our solution

Reading and checking

Incoming email and attachments are read out, whatever form they take. A data check follows immediately: is everything there to build an order from, or is something missing?

Recognising customer and products

The customer is recognised in Brincr, or created. Products, pallets and related items are linked, and a draft order comes out of that.

Stock and the final look

The system checks stock and, where needed, prepares a draft email to the supplier. The owner approves last. Nothing leaves without someone having looked at it.

The result

The solution was worked out separately from Brincr and validated with them afterwards. Their response was not that it clashed with their roadmap, but the question whether we could do this for their other customers too. An official partnership came out of that. What started as one wholesaler wanting its own problem solved is now on the table at ten others.

Jason and Coen immediately thought along with us well. They listened to what we needed and translated that into a clear plan.
